Information for Oral and Poster Presenters
BES Annual Meeting
10 - 12 September 2007

Listed below are the instructions already emailed to all accepted Oral and Poster abstract submitters. 

If you have to cancel your talk or poster, please contact Richard English at the BES office as soon as possible.  Most BES staff will be attending the meeting, so we can not guarantee any cancellations will be received after Friday 7 September. 

Please be aware that any cancelled talks will result in gaps in the Programme rather than a re-structuring of the Session.  Restructuring has caused confusion in the past and we wish to avoid such situations. 

We can not offer refunds on cancelled bookings. 

 

Instructions for Oral Presenters:


As a reminder, your presentation should not exceed 20 minutes (unless you are a keynote speaker) and we would expect you to speak for 15 minutes, leaving the remaining five for questions and discussion.

The medium for presentations will be Microsoft Powerpoint.  All Lecture Theatres are equipped with data projectors and PC computers running Powerpoint.  Macintosh facilities are NOT available, and delegates will not be permitted to run presentations from their own notebook computers.  Speakers should arrive at the lecture theatre in which they are speaking, at least 20 minutes before their session start, to load their presentations onto the computer from CD or USB drives.  BES student helpers will be available to assist.

To ensure compatibility with local hardware and software, speakers may wish to run through their presentation in advance using the viewing facilities in the Robing Room; this can be done at any tea, coffee or lunch break throughout the meeting.

Before the session starts please make yourself known to the person chairing the session and indicate to them how you would like to be introduced.

Please be aware that any cancelled talks will result in gaps in the Programme rather than a re-structuring of the Session.  Restructuring has caused confusion in the past and we wish to avoid such situations.  For multi-author papers, it is essential that you have agreement to present the paper from all of the authors concerned.  If you have to cancel for any reason, please do contact the office as soon as possible.

 

Instructions for Poster Presenters:


There will be a BES helper available to guide poster presenters to their display boards, these are labeled according to numbers printed in the Programme, which will be given out at the meeting. 

The poster boards are 1m wide x 2m high portrait (1,000mm x 2,000mm).

Posters should be attached to the boards by sticky Velcro tape that you should bring with you.  Each poster should include a photograph of the lead author to help delegates identify the presenter.
