GUIDANCE NOTES

The main hub of the Annual Meeting will run from 09.00 on Tuesday 7 September to lunchtime on Thursday 9 September. Proceedings will start with an informal, free Welcome Mixer for delegates on the evening of Monday 6 September at the University of Leeds; please tick the appropriate box on the booking form if you would like to join us.

Everyone who wishes to attend the meeting, including speakers and oral or poster presenters, must register. No bookings will be processed without full payment. There are no refunds for booking cancellations.

REGISTRATION:

Book by 14 June 2010 for significant discounts on the regular registration fees. Regular registration fees will be: £180 BES Members, £90 BES Student Members, £275 Non-Members.

Online Day Registration will be available when the final programme is available online early July; it will also be offered from the Registration Desk at the meeting, though meals and accommodation must be booked in advance. Costs per day: Members £100; BES Student Members £50; Non Members £120 (does not include automatic BES membership).

BES Membership costs £40 or £20 for students, retired or for people from reduced rate countries. Benefits include reduced registration fees to all BES meetings, subsidised Journal subscriptions, member-only grants, access to the new members area of the website as well as significant reductions from a host of leading scientific publishers. Membership application is available from the BES website. Delegates who join the BES at the same time as booking for this meeting, will be eligible for the reduced priced Members’ registration fee.

Delegates who choose the non-member registration rate will automatically receive 12 months BES membership; to take advantage of the reduced price Journals or any other member benefit, please contact the Office directly.

Do not rely on your Finance Office to forward your booking form to the BES. On many occasions, Finance Officers have failed to forward us booking forms; please confirm with them that both payment and booking form have been sent.

We endeavour to process booking submissions within two weeks of receipt. A letter of confirmation and travel details will be sent to you; if you have not heard from us within two weeks of submission, please contact us immediately. Check your confirmation letter carefully and keep a copy of the completed form for your records; if you have any amendments, please contact us as soon as possible. Please send your booking form by one method only, do not send copies via both mail and online.

MEALS & ACCOMMODATION

Breakfast is included in the price of accommodation. The number of rooms in halls of residence is very limited and bookings are dealt with in order of receipt. Lunch will be bagged and include a sandwich, soft drink, crisps and fruit. The meeting will finish around lunchtime on Thursday 10 September, so there will be no lunch available on that day.

STUDENT SUPPORT

BES Student members are eligible for the reduced registration fee and a 50% discount on catering and accommodation costs that are booked directly through the BES. Only BES Student members are eligible for this preferential rate.

ABSTRACT SUBMISSION

The deadline for poster and oral abstract submission is 8 May 2010. If you are submitting abstracts, you must complete a booking form by 14 June; failure to do so will result in the presentation being removed from the programme. The full programme of talks will be available on our website in early July 2010. See the BES website for full details.
