GUIDANCE NOTES

Everyone who wishes to attend the meeting, including speakers and oral or poster presenters, must register. No bookings will be processed without full payment. There are no refunds for booking cancellations.

The main hub of the Annual Meeting will run from 09.00 on Monday 12 to lunchtime Wednesday 14 September. Proceedings start with an informal, free Welcome Mixer for delegates on the evening of Sunday 11 September; please tick the appropriate box on this form if you would like to join us.

REGISTRATION:

To reflect the current economic climate, the Society has worked hard to keep registration fees the same as 2010. Book online by 1 July 2011 for significant discounts:

Earlybird Registration: £125 BES Members, £65 BES Student Members, £190 Non-Members

Deadline: 1 July (online only)

Regular Registration: £180 BES Members, £90 BES Student Members, £275 Non-Members

Deadline: 14 August

Day Registration: £100 BES Members, £50 BES Student Members, £120 Non Members (excludes automatic BES membership)

Online Day Registration will be available from 15 August; it will also be available onsite at the Registration Desk though, at this stage, it will not be possible to book meals and accommodation.

BES Membership is currently £46 or £23 for students, retired or for people from countries classified as 'low-income' by the World Bank. Applicants who set up a Direct Debit or recurring card payment can pay the discounted rate of £40 for Ordinary membership or £20 for all other grades. Benefits include discounted registration fees to all BES events, subsidised Journal subscriptions, member-only grants, access to the members area of the website as well as significant reductions from leading scientific publishers. Membership application is available from the BES website.

Delegates joining the BES at the same time as booking will be eligible for the discounted Members' registration rate.

Delegates who choose the non-member registration rate will automatically receive 12 months BES membership; to take advantage of reduced price Journals or any other member benefit, please contact the Office directly. This offer is not available on day registration.

Do not rely on your Finance Office to forward your booking form to the BES. Finance Officers have often failed to forward booking forms; please confirm with them that both payment and booking form have been sent.

We endeavour to process booking submissions within two weeks of receipt. A letter of confirmation and travel details will be sent to you; if you have not heard from us within this time, check your 'Junk' or 'Spam' folder and then contact us immediately.Check your confirmation letter carefully and keep a copy of the completed form for your records; if you have any amendments, please contact us immediately. Please send your booking form by one method only.

MEALS & ACCOMMODATION:

Breakfast is included in the price of accommodation. The number of rooms in halls of residence is limited and bookings are dealt with in order of receipt. Lunch will be bagged and include a sandwich, soft drink, crisps and fruit. The meeting will finish around lunchtime on Wednesday 14 September, so there will be no lunch available on that day.

STUDENT SUPPORT:

BES Student Members are eligible for the reduced registration fee and a 50% discount on catering and accommodation that are booked directly through the BES. Only BES Student Members are eligible for this preferential rate.

ABSTRACT SUBMISSION:

Deadline for poster and oral abstract submission: 22 May 2011. If you submit an abstract, you must complete a booking form by 1 July; failure to do so will result in the removal of your presentation. The full scientific programme will be online in early July 2011.
